Setting Up Email Signatures in Zoho Mail

Zoho Mail Email Signatures

Zoho Mail lets you create rich, professional email signatures, including your name, job title, contact details, and organisation logo, with support for multiple signatures across different email addresses or aliases.

Creating a Signature

  1. Log in to Zoho Mail and click the Settings icon.
  2. Go to Signatures.
  3. Click the + icon to create a new signature.
  4. Give it a name, and write and format the content using the rich text editor.
  5. Insert images, such as a logo, and add hyperlinks if needed.
  6. Link the signature to a specific From address using the Associate Mail Address option, so it appears automatically when composing from that address.
  7. Click Save.

Multiple Signatures

Zoho Mail supports having several signatures, each associated with a different email address or alias, so different roles or teams within your organisation can maintain their own signature without conflict.

Inserting HTML Directly

Beyond the standard rich text editor, Zoho Mail also offers an Insert HTML option within the signature editor, letting you paste formatted HTML markup directly rather than building the signature purely through the visual editor. This is useful if you already have a signature template built as HTML and want to bring it across without manually recreating the formatting.

Known limitations: Custom emojis cannot be added to a signature, though Zoho Mail's own built-in emojis can be used. Signature formatting can also render slightly differently across recipient email clients, such as Gmail, Apple Mail, and Outlook, since each interprets rich content according to its own rendering model. If your signature includes logos or hyperlinked images, it's worth checking how it appears across the email clients your recipients are most likely to use.

Using the Same Signature in the Mobile App

In the Zoho Mail mobile app, go to Settings, select the relevant account under User Accounts, and enable "Use Desktop signature." You may then need to manually sync desktop settings for the signature to appear correctly within the app.
