Zoho People Leave Policies: How to Configure Them

Zoho People: Configuring Leave Policies

This guide comes from the 1 Cloud Consultants knowledge base. We are an Authorized Zoho Partner, and our Zoho products page explains what we do.

A leave policy in Zoho People defines a type of leave, such as casual, sick, or maternity leave, together with who is entitled to it, how much they get, and what restrictions apply. This guide explains how policies are put together and what to decide before you build them. It replaces an earlier note from 2019 that only linked to Zoho's help.

Two versions exist. Zoho People has a basic version of leave configuration, built around leave types, and a newer, more advanced one, built around leave policies. Which you have depends on your account, and Zoho supports an upgrade to the advanced version. If you are not sure which one you are on, ask us.

Who a policy can apply to

In the advanced version, you can make a policy specific to departments, designations, locations, roles, employment types, and values in other employee form fields. That lets one organisation run different rules for, say, head office staff and a regional team.

How leave is entitled

Entitlement type How it works
AccrualLeave builds up in parts over a period, such as a day a month. You can choose whether it can be taken at the start or the end of each accrual period.
Grant basedLeave is granted when needed, which suits something like maternity leave, where an expiry date may not apply.
Experience basedEntitlement depends on length of service, for example for employees with more than three years' experience, optionally with encashment.

Settings worth knowing

  • Prorate accrual sets how leave is credited when someone joins part-way through: start of policy, end of policy, or do not prorate.
  • Opening balance, maximum balance, and credit in next accrual give you more control over what carries over and what is capped.
  • Effective criteria. A policy can be set to apply only after a period of service. Until then, the person cannot apply, even if a balance exists.

When a leave request is refused

Two causes come up most often. The employee has used up their balance, which an administrator can check from the balance history and, where appropriate, adjust as of a chosen date. Or the person is not yet eligible, because the policy only takes effect after a set time from their joining date. Deleting a policy by mistake can have knock-on effects, so Zoho's advice is to create a new policy with the right effective date rather than edit history.

Building policies well: our advice

This section is our own advice, not Zoho's.

  1. Write the rules down first. Annual entitlement, carry-over, accrual, and approval, as your contracts and handbook state them.
  2. Mind the UK and Irish rules. Statutory minimum holiday entitlement, bank holidays, and how leave is calculated for part-time workers differ between the two countries, so check your policy against the law. This is general guidance and not legal advice.
  3. Test with a dummy employee before applying a policy to real staff.
  4. Do not edit balances casually. Keep a note of why each adjustment was made.
