The Partner Portal in Zoho PRM

Zoho PRM: The Partner Portal

The Partner Portal is a secure workspace created specifically for your partners. It is where they collaborate with your organisation, register deals, and share relevant information.

It works much like the Client Portal in Zoho CRM, with one key difference: a Portal User Group is created for every partner programme you set up. A non-tiered programme gets one group, while in a tiered programme each tier gets its own. That way partners see only the information, modules, and benefits that apply to their programme or tier.

Setting Up the Portal

  1. If no portal exists yet, go to Setup, then Partner Portal, click Get Started Now, and enter the portal URL. Portals are then created for all your existing partner programmes.
  2. Choose which CRM modules partners can see (see below).
  3. Open the Portal User Group you want to configure and click Edit on its Portal Module Configuration.
  4. Select the modules Partner Contacts can use, and set the layout and permission level for each. These modules appear as tabs in the portal.
  5. Set field permissions, then invite partner users.

Choosing Modules for Partners

When you select a module, three partner fields are added to it automatically: Partner Account, Partner Contact, and Partner Program. They link each record to the right partner and programme. Only modules selected at this stage can later be configured in a Portal User Group, which helps stop internal information being exposed unnecessarily.

Limit: you can enable up to five modules at a time, and this step must be completed before you configure module access in a portal user group.

Layouts and Conditions

By default, layouts and conditions are based on the Partner Contact Name, so partners can reach only the records associated with their own account.

Field Permissions

After choosing modules, open Field Permissions and decide, module by module, whether partners can view a field, edit it, or have it hidden.

Inviting Partner Users

  1. Open the Partner Contact record.
  2. Click Send Invitation.
  3. Confirm in the message that appears.

The partner receives an email invitation to the portal.

Menu names differ between Zoho's pages. Zoho's quick start refers to Settings and an Invite Users button in the portal settings, while its Partner Portal guide describes Setup and a Send Invitation button on the contact record. Both describe the same task. If one route doesn't match your screen, try the other.

Exposing New Modules Later

Custom modules appear under Setup, and when you create a new module the Partner Program, Partner Account, and Partner Contact fields are added automatically so records map to the right partner. You can then configure its visibility, access permissions, and user-group level access, which keeps track of which partner manages which records.

Next step: Deal Registration. Programme setup is in Configure a Partner Programme.
