Phase layout rules tailor the phase form in Zoho Projects to your project workflow by showing the right information when conditions you define are met.
Availability: Enterprise plan and above.
Benefits
- Display fields on the phase form only when specific conditions are met.
- Make certain fields mandatory depending on the value chosen in another field.
- Build a tailored flow by showing related information based on what the user selects.
The two rule types
Conditional layout rule
Changes the properties of a field when a condition is met, and can run when a phase is created or updated. For example, to capture the Priority field only once a phase moves to In Progress, create a condition where Status is In Progress and use the Show Fields action to display Priority.
Dependent layout rule
Shows only certain values in one field depending on the value chosen in another, which simplifies the form. For example, if phases are categorised by a primary field such as Phase Type, a dependent field can offer only the values that apply to the chosen type.
Create a layout rule
- Click Setup in the upper-right corner of the top navigation bar.
- Go to Customization, then Layout Rules.
- Open the Phase tab and click New Layout Rule.
- Enter a Rule Name and Description, and choose an existing Layout. If no custom layouts exist, only the default layout is offered.
- Choose the Rule Type. For a Conditional rule, choose when it should Execute On and configure the triggering condition. For a Dependent rule, select the Primary Field and the Dependent Field.
- Click Save.
Notes: if a Conditional rule's condition field uses Is Updated, only the Set Mandatory Field action can be added. If several conditions are configured, only the first matching condition and its actions run, and later conditions are not evaluated.
Edit or delete a rule
Go to Setup, then Customization, then Layout Rules, and open the Phase tab. Hover over the rule and open the more options icon. Choose Edit, change the details, and Save, or choose Delete and confirm.
Actions you can add
After setting a condition, open the rule and click Add Action. You can show fields, show sections, set mandatory fields, remove mandatory fields, or disable fields.
- Show Fields. Select the fields to display, then Save.
- Show Sections. Select the sections to display, then Save. The default section is not available for this action.
- Set Mandatory Fields. Select the fields to make mandatory. Optionally tick Clear the current value and prompt for a new value when triggered, so the user must enter a fresh value when the rule runs. That option is available only when the condition field is set to Is Updated.
- Disable Field. Select the fields to disable, then Save. Mandatory fields cannot be disabled.
Limits
- A layout rule can contain a maximum of 35 conditions.
- You can create up to 200 conditions per layout.
- There is no limit on how many rules a layout can have, provided those two limits are respected.
