The Knowledge Base is where you give your Zoho Zia Agent access to your organisation's actual business content. Rather than relying purely on the underlying language model's general knowledge, agents with a knowledge base can search your specific documents first when generating responses. This ensures answers are grounded in your current product documentation, policies, and internal processes.
The knowledge base accepts PDFs, text files, and markdown documents. For best results, use well-structured content with clear headings and concise paragraphs. Good candidates include product documentation, FAQs, policy documents, troubleshooting guides, and process playbooks.
There are four ways to add content to the knowledge base:
Name your document, select the file from your local device using the upload icon, and confirm. This is a one-time upload with no automatic sync.
Select files directly from Zoho Workdrive, set how frequently you want automatic synchronisation to run, and upload. This is the recommended method for documents that are regularly updated in Workdrive, as the sync keeps the knowledge base current without manual re-uploads.
Set the sync frequency, name the document, then select the hub, space, and manual you want to pull from. Choose the specific articles to include and complete the upload.
Enter a URL and the platform extracts content automatically, provided the site permits crawling. Two limits apply:
The knowledge base view gives you three perspectives on your documents: your own uploads, documents shared with you by colleagues, and all knowledge bases across your organisation. You can sort the list by name, creation date, or document size, and filter by file type, creation date, or creator.
