Zoho DataPrep is a self-service data preparation tool built to help organisations clean, transform, and enrich large volumes of data drawn from multiple sources. When used as an add-on within Zoho Analytics, it allows you to prepare your data before or after import, ensuring that the information powering your reports and dashboards is accurate and consistent.

How DataPrep Works Inside Zoho Analytics

The DataPrep add-on integrates directly within the Zoho Analytics interface. You can apply data preparation either at the point of import or retrospectively on tables that are already in your workspace. The preparation is managed through a ruleset system, which means your transformations are recorded and can be edited, removed, or reapplied as your data changes over time.

Preparing Data During Import

1. Select your file for import. Begin the standard data import process in Zoho Analytics.
2. Click Prepare Data. In the Create Table pane, select the Prepare Data option to open the DataPrep interface.
3. Apply transformations. Use the available tools to clean and enrich your data, guided by intelligent suggestions where DataPrep detects common data quality issues.
4. Review and finalise. Check the table settings and confirm the import once your preparation rules are in place.

Preparing Data After Import

DataPrep tools are also available for tables already in your workspace. Access them through the table menu by selecting More, which gives you options to view data quality analysis or apply preparation rules to existing data.

Available Transformations

The DataPrep add-on within Analytics supports a broad range of column-level operations, including:

• Replacing values and correcting inconsistent entries
• Trimming whitespace and truncating text
• Adding prefixes or suffixes to column values
• Filling empty cells with default or derived values
• Rounding numerical values
• Clustering and merging similar values to reduce duplication
• Changing text case

Dataset-level transforms are also available, though the add-on supports fewer of these than the standalone Zoho DataPrep product.

Data Quality Analysis

The add-on includes visual data quality analysis, giving you a clear picture of issues such as missing values, inconsistent formatting, and outliers before you finalise your preparation. Intelligent suggestions are provided for common data quality problems, helping you apply the right fix quickly.

Managing Preparation Flows

Your preparation steps are stored as a reusable flow and can be monitored, edited, or removed from either the import pane or the Data Sources page. Removing a preparation flow does not delete your original data; the underlying imported records are retained.
