Zoho CRM Email Integration - Two Factor Authentication (TFA)

If you're trying to integrate an email account with Zoho CRM and that account has two-factor authentication (2FA) turned on, whether you need an app-specific password depends on which email provider you're connecting.

Gmail and Microsoft 365 / Outlook

For Gmail and Microsoft 365 or Outlook accounts, Zoho CRM connects using OAuth authorisation rather than a stored password. You'll be redirected to sign in directly with Google or Microsoft, complete your usual 2FA step there, and approve the permissions Zoho CRM requests. No app-specific password is needed for these providers.

Note: If your organisation restricts third-party app access in Google Workspace or Microsoft 365, an admin may need to grant consent before individual users can authorise the connection. This shows up as an error on the permissions screen rather than a 2FA problem specifically.

IMAP or POP accounts, including Zoho Mail

For accounts connected via IMAP or POP, including Zoho Mail itself, you'll need to generate an application-specific password if 2FA is enabled, since these connection methods don't support the interactive login step 2FA requires.

  1. Generate the password. In your email provider's account security settings, generate a new application-specific password. In Zoho Mail, this is under your account's Two-Factor Authentication settings.
  2. Use it in place of your normal password. When configuring the email account in Zoho CRM, enter this application-specific password instead of your regular login password.
Note: Application-specific passwords don't expire when your regular account password changes, so you won't need to update it in Zoho CRM just because you've reset your main password. You can revoke an individual application-specific password from your account's 2FA settings at any time, which is useful if you stop using a particular integration.
